Privacy policy
Attorney review pending
Two different sets of people appear in this policy: owners who contact us through this site, and the customers of those businesses whose details sit inside systems we run.
When you use the forms on this site
The forms collect what you type into them: your name, your company, your mobile number, your email address, and the best time to call. If you answered the six questions, your answers, your score and your answer to the opening question travel with the form, along with the campaign tags in the link that brought you here (utm tags and gclid). We use them to reply to you and to prepare your Inspection.
We keep enquiries for twelve months from your last contact with us, then delete them. We do not sell them, and we do not add you to a marketing list without you asking for one.
What stays in your browser
Your answer to the opening question and the campaign tags in your link (utm tags and gclid) are kept in your browser's session storage, so the page remembers them while the tab is open. So is your email address, if you ask for your score by email. They are cleared when you close the tab. Your answers to the six questions stay in the page only and are gone when you reload. Nothing is sent to us until you press a send button. This site sets no cookies.
When we run your office systems
Your accounts are opened in your name, and your customers' data stays in them. We work inside those accounts by invitation, as your agent, on your instructions. You decide what is collected and why.
That data typically includes names, phone numbers, email addresses, service addresses, call recordings and transcripts, job notes, message history and payment records.
Cookies and measurement
This website sets no advertising cookies and runs no cross site tracking. If we add analytics we will use a measurement tool that does not build a profile of you, and we will name it here before it goes live.
The pages load their typefaces from Google Fonts, so your browser contacts Google's font servers when a page opens, which shares your IP address with Google.
Who else sees the data
We use suppliers to host the site, send messages, and take payments. Each one is bound by a contract that limits them to acting on our instructions. We will name the current list on request, and we will tell you before we add a new one that touches customer data.
We do not sell personal data.
How long we keep things
- Enquiries to us: twelve months from your last contact.
- Customer records: they live in your accounts. We delete our own copies within sixty days after the engagement ends, except archival or legal copies, which stay confidential.
- Our own invoices and payment records: as long as tax law requires.
- Website server logs: kept by our hosting provider under its own retention.
Your rights
You can ask for a copy of your data, ask for it to be corrected, ask for it to be deleted, or object to how we use it. Email the request to office@tradebirdie.com. We will respond within one month. There is no charge.
If you are unhappy with how we handled a request you can complain to the regulator where you live. Telling us first usually gets it fixed faster.
Security
We keep credentials in a password manager, use multi-factor authentication where the vendor supports it, and limit access to trained people. If you are a client, we tell you within 72 hours of a confirmed security incident involving our systems or credentials.
