You stop being the office. Then you are the office. Then one person is the office. Then a stranger answers in your name. Then the call goes to whoever picks up next.
We run the phones, the invoices, and the records.
In your systems, under your name.
Until the business runs without you.
You built this. Fifteen, twenty, thirty years of it. Trucks, techs, a name people in this valley actually trust.
And you are still the one on the phone at nine. Still the one at the kitchen table on Sunday with a stack of invoices. Still the only person who knows where anything is.
That is not a discipline problem.
It is a missing office.
02 · What it costs, in numbers that are not ours
The math on being the office.
36 percent
of a growing-business owner's week goes to administration. (Time etc survey of 251 U.S. owners, 2023)
52 percent
of callers to home-services businesses speak with a person. (Invoca Home Services Benchmarks Report, 2026)
58 percent
of Baby Boomer owners plan to be out inside five years. Five percent of them have a formal team in place to do it. (EPI State of Owner Readiness Generational Report, 2025)
Multiply your own missed calls by your average ticket.
That is the number nobody sends you an invoice for.
03 · Ninety seconds, from one of us
The ninety seconds is being cut. In the meantime, here is the short version.
"If a buyer called you Tuesday, what would you send him?"
They teach it.
We run it.
Coaching networks, training programs and buying groups teach the owner what to do. We do the work, inside your own accounts.
The three people who would run your office: Dhruv Gupta, Shelton Beascochea, Steve Knutson (Founders).
04 · The work, named
Here is everything we do.
There is no and-more.
- The phone, 24/7
- Every call answered in your company's name, qualified, and booked into your calendar. Recordings and transcripts you can listen to.
- Invoices
- Out within minutes of a job closing, through your system, at your prices. Reminders automated. The unpaid list worked every week.
- Payments
- On your merchant account, in your name. Every payment lands against its invoice. Nothing routes through us and we never hold your money.
- The CRM
- Set up, or straightened out if you already own one. Customers off paper and out of spreadsheets. Every quote, job and invoice logged, by us, daily.
- Reviews
- Requested by text and email after every job. Replies written to a playbook you approve. Disputes escalated to you, not handled quietly.
- Website and Google
- Rebuilt mobile-first with online booking, hosted and kept updated. Google Business Profile worked weekly. Your ROC number where the law wants it.
- The monthly report
- One page out of the systems by the fifth. Jobs, invoices sent, money collected, money outstanding, reviews, and where your leads came from.
- The handoff to your CPA
- Clean, standardized exports every month, the same format every time. We make his job easier. We never do his job.
What we never do: no bookkeeping, no monthly close, no financial statements, no tax work, no valuations, and no advice. We never market or negotiate the sale of your business, and we are never paid anything that depends on a sale.
That is written into the agreement, not just onto this page.
05 · The check
Six questions. Sixty seconds.
After each answer you see what it costs you and what we do about it. At the end you get a score out of a hundred and the whole breakdown, and you keep it whether we ever speak or not. No email unless you ask for the score to be sent.
You are already one of six in. You answered question three at the top of the page.
Questions one and two route your result and score nothing. Questions three, four and five score up to 30 points each. The owner category scores up to 10. Question six scores nothing.
- What is your trade?
- HVAC
- Plumbing
- Electrical
- Roofing
- Another trade
- Roughly what did the business do last year?
- Under $2.5M
- $2.5M to $4M
- $4M to $5M
- Over $5M
- Who answers when the phone rings after hours?
- Me. Always me. 14 points
- Someone in the office 30 points
- An answering service 18 points
- It rings out 4 points
- How fast do invoices go out after a job?
- Same day 30 points
- Within the week 20 points
- When someone gets to it 12 points
- Nights and weekends, at the kitchen table 6 points
- If a bank, a buyer, or your family asked for every record tomorrow, how long would it take to hand it all over?
- A day 30 points
- A week 21 points
- A month 14 points
- Honestly, no idea 4 points
- Has a buyer or a private equity group called you in the last twelve months?
- More than once
- Once
- No

The owner: start at 10. Subtract 4 if you answer the phone yourself. Subtract 3 for the kitchen table. Subtract 3 if you have no idea how long your records would take. The floor is 0.
Add the four together for your score out of 100. Steve asks the same six questions by phone and gives the same score.
06 · Published · The price on the button is the price
There is one thing to buy on this page.
The Inspection
$4,500
Two weeks. On site and inside your systems. Every item on our published checklist, scored and evidenced, written into a file you own and keep. A fixed price for the work, attached.
It is an inspection and an estimate. The same thing you hand a homeowner. It is not a consulting report and there are no recommendations in it that we are not willing to go do.
Start a plan within thirty days and the $4,500 becomes your build fee. You pay it once, not twice.
We confirm by email within one business day and send the invoice.
The ninety-day money back covers plan fees once a plan starts, not this fee.
Office, Run
$3,500 a month
For $2.5M to $4M. Everything above run daily, plus the receptionist on your line 24/7, the KPI dashboard, the monthly handoff to your CPA, and a re-score every quarter.
Records & Readiness Office
$6,000 a month
For $4M and up. All of that plus the records room, the operations manual written a process at a time, the customer-record deep clean, your own role written down, and same-day document production when your attorney, your lender or your CPA asks.
Onboarding and build
$4,500 once
Every new client, both plans. Covered in full by the Inspection fee when a plan starts within thirty days of the scorecard.
Both plans are month to month from day one. Thirty days notice. No reason needed.
One customer service rep in the Phoenix area: $48,550 a year in mean wages, about $4,046 a month, before taxes and benefits (U.S. Bureau of Labor Statistics, May 2025). Office, Run costs less than the person it replaces, and it covers the phone around the clock instead of forty hours.
Ninety days. Money back.
If you are not satisfied, tell us in writing within ninety days after your start date and we refund the plan fees you have paid Trade Birdie for that period.
And three things we put in the agreement, that you can check on a Tuesday without asking us:
- Every inbound call answered and logged.
- Invoices out the same day a job closes.
- Your records file built to the published standard.
The guarantee is available once per client. It covers plan fees only: not the onboarding and build fee, not the Inspection fee (if charged), and not third-party or pass-through costs. It is not available if access was materially withheld or the agreement breached. On refund the agreement ends, and you keep your accounts and your data.
There are no testimonials on this page.
We have not been doing this long enough to have earned one that is real and named, and we are not going to run one that is not.
When we have them, they will carry a full name, a company, and a phone number you can call.
07 · Prepared, not promised
And whenever someone does look.
Owners in this valley can get calls from buyers. Private equity bought nearly 800 HVAC, plumbing and electrical companies from 2022 to late 2024 (PitchBook data via The Wall Street Journal, 2024), and 22 named platforms are still buying HVAC businesses (DealSeam tracker, 2026).
We are not brokers. We will never market your business, introduce anyone without your written consent, negotiate on your behalf, or take a dollar that depends on a sale happening.
What we do is simpler. When a bank, a buyer, a lender, your CPA or your own family asks for everything, the answer is a day instead of a scramble.
That is worth having if you sell.
It is worth having if you never do.
Getting calls from buyers?
Before you answer one, know what they will ask for.
Three years of clean customer records. Maintenance agreements and what they are worth. Written processes for the work. Licenses, insurance, the lease, vendor contracts, in one place. And a clear answer to the only question that matters: what happens here when you are not in the building.
08 · Straight answers
Before you decide.
Agencies have burned me before.
Prices are published. Month to month from day one. Ninety-day money back on plan fees. Your data, your accounts, your name on everything. You can read the whole contract in one meeting.
Answering services lose my customers.
Answered in your company's name, booked straight into your calendar, with recordings you can listen to. After-hours calls recovered is your month-one number, and we report it.
Consultants talk. I need work done.
We do not advise and we do not write reports. The Inspection is a scorecard against a published checklist with a fixed price attached, the same as you would hand a homeowner. After that it is work, monthly, inside your systems.
Are you a broker in disguise?
No success fees, ever. No introductions to anyone without your signed consent. Nothing about your plans leaves the room. We keep the house in order. Who you show it to is your business.
I already have ServiceTitan. Do I have to move?
No. We work in what you own. ServiceTitan stays, and we tidy it. If you are on paper or spreadsheets we set up Housecall Pro or Jobber, in your name, on your account.
Whose accounts are these?
Yours. Every system, every login, every merchant account is opened in your company's name and stays yours if we part ways on a Tuesday. We never hold, route, or touch your money.
What actually happens in week one?
The receptionist goes live on your line. Invoicing starts running the same day jobs close. Migration and documentation run behind that through the first thirty days, which is what the build fee covers.
How do I cancel?
In writing, by email, thirty days. No retention call, no phone tree, no reason required. Cancelling has to be as easy as starting, which is just how we would want to be treated.
Does Trade Birdie's name appear anywhere my customers see?
Never. Not on your website, not on your invoices, not on your trucks, not in a review reply. Your name, your brand, your accounts. We show up in the contract and in your monthly report.
